The following policies for the Lebanon Country Music Festival (CMF) are focused on maintaining a high standard of quality and continuity to the festival. These policies are subject to the control of Lebanon Rotary and are subject to change as deemed necessary to the festival, the community, and the safety of the attendees and residents.   

  • Application must be filled out completely before it will be considered or accepted.
  • Please include a photo of your booth or food truck send to info@Lebanonchamber.org
  • Booth rental confirmation will be made via email
  • NO REFUNDS for any reason after May 1, 2026.
  • Return check fee is $45.00
  • Only juried items can be sold. CMF reserves the right to ask vendors to remove inappropriate items.
  • Set-up and tear-down times MUST be adhered to.
  • 5lb ABC fire extinguisher is required at every booth. (Fire Department will check!)
  • Liability insurance is for your own protection - Signed Hold Harmless Agreement with application.
  • THE DEADLINE FOR 2026 VENDORS TO SUBMIT APPLICATIONS AND GUARANTEE SPACE IS Monday, May 4, 2026. AFTER THAT POINT, APPLICATIONS WILL BE CONSIDERED AS WAITLISTED FOR SPACE.

SET UP AND TEAR DOWN:

  • Set up begins Friday 12:00pm to 5:00pm roads will be closed to thru traffic at 5:30pm! Tear down begins at 11:00pm Saturday NO early tear down.
  • As a safety precaution, NO one will be permitted to set-up prior to 12:00 pm Friday as streets will not be officially closed to thru traffic. 
  • IF YOU HAVE A MOBILE UNIT THAT REQUIRES MANEUVERING TO GET INTO YOUR SPACE, YOU MUST ARRIVE BY 12:00 PM Friday, June 12th OR WE CANNOT GUARANTEE YOUR ASSIGNED SPACE.
  • Your name will be written on tape on the curb at your booth location. If you cannot find your booth space, please see the person onsite with the green safety vest.
  • Do not block the roadway or the booth next to you, the area will be congested at setup and tear down times.
  • ALL vehicles must be OUT of the set-up area by 5:30pm Friday, June 12 and cannot re-enter the area until tear down at 11:00pm Saturday, June 13. Any booth space not occupied before road closure will be considered vacant. Lebanon Country Music Festival may rent this space to another vendor. NO     refund will be made for late arrivals that do not have access to their booth.
  • Each vendor will clean up and restore the booth space to its original condition at the conclusion of the Festival. All trash is to be placed in event       dumpster at the close of the Festival. Boxes must be collapsed.
  • Each vendor is responsible for supplying their own equipment, set up, and tear down. You must use a canopy; however, it MUST have weights attached in case of wind gusts.

FOOD PERMITS: - WARREN COUNTY HEALTH DEPARTMENT - 513-695-1220 All food vendors must obtain a Warren County Health Department Festival Food Permit at least 15 days BEFORE the event. No temporary permits will be issued. Note: As part of standard operating procedures in Warren County all food selling vendors will be contacted by the Warren County Health Dept. for inspection.

ALL BOOTHS 

  • Vendors will not utilize flashing lights, music, yelling to the crowd, and the use of moving, non juried items to draw attention.
  • ALL vendors shall conduct business during the published Lebanon Country Music Festival hours.
  • All FOOD VENDORS need to supply their own lighting equipment for their vending area as the festival runs until 11:00pm.
  • Each vendor will clean up and restore the booth space to its original condition. Tear off location tape, please.
  • The vendor/lessee shall not sublease said booth space to another vendor or have your products sold by others.
  • Lebanon Country Music Festival may remove any vendor who annoys, endangers, or interferes in any way with the harmony of the Festival event.
  • Lebanon Country Music Festival, or Rotary Club of Lebanon, Ohio will not be held responsible for accident, injury, theft, or loss of property.
  • The use of flags, signs, poles with merchandise above the tent is not allowed.
  • Vendors may only distribute business cards or product advertisement flyers for the vendor's upcoming shows.
